Privacy Policy

Who we are

Martial Rocket provides gym management software to martial arts gyms. This policy explains how we handle personal information, both for the gym owners and staff who use our platform and for the gym members whose information is stored in it.

Two different roles

It matters which of these applies to you, because your rights differ:

• When a gym uses our platform, the gym decides what member information is collected and why. The gym is responsible for that information; we process it on the gym’s behalf and under the gym’s instructions. If you are a gym member and want your information changed or deleted, contact your gym first.
• When you deal with us directly — enquiring through this website, holding a staff account, or contacting support — we are responsible for that information ourselves.

What we collect

From gym owners and staff

• Name, email address, phone number and gym details
• Account credentials and access logs
• Information you send us in enquiries or support requests

From gym members, on behalf of the gym

• Contact details, date of birth and guardian relationships
• Membership, plan and payment records
• Attendance, bookings, grading and progression records
• Messages exchanged between the member and the gym

Payment information

Card payments are processed by Stripe. Card numbers are entered directly into Stripe’s systems and are never stored on our servers. We retain only the records needed to show what was charged and whether it succeeded.

Children’s information

Martial arts gyms teach children, so our platform is built to handle their information carefully:

• A member recorded as under 18 is linked to a guardian, and messages about that member are addressed to the guardian rather than to the child.
• Automated messages concerning an under-18 are never sent without a person at the gym reviewing them first. This is enforced by the platform itself.
• We do not use children’s information for marketing, and we do not sell personal information of any kind.

How we use information

• To provide, maintain and support the platform
• To process payments and manage memberships on a gym’s behalf
• To respond to enquiries and provide customer support
• To keep the service secure and investigate misuse
• To meet our legal obligations

We do not sell personal information, and we do not share one gym’s data with another.

How information is protected

• Each gym’s records are isolated at the database level, enforced by the database itself rather than by application code.
• Data is encrypted in transit.
• Access to production systems is restricted to staff who need it.
• Payment card data is handled entirely by Stripe.

Service providers

We rely on a small number of providers to run the platform, including hosting and database infrastructure, Stripe for payments, and email and SMS delivery providers. They may process personal information only as needed to provide their service to us.

How long we keep information

We keep information for as long as a gym maintains an account with us, and afterwards only as long as needed for legal, accounting or dispute-resolution purposes. When a gym closes its account it may request export or deletion of its data.

Your rights

You may ask for a copy of the personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it where we are not required to keep it. If you are a gym member, contact your gym first, as they control that information. If we hold your information directly, contact us at hello@martialrocket.com.

We handle personal information in accordance with the New Zealand Privacy Act 2020. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner.

Cookies and analytics

This website uses privacy-friendly analytics to understand which pages are visited and how the site performs. We do not use advertising trackers or sell visitor data.

Changes

We may update this policy as the platform develops. Material changes will be notified to gyms holding an account with us.
